Spam filtering configuration for Outlook 2003

You can configure Outlook to check each email subject line for the inclusion of a spam indicator, and request that any mail with this indicator be placed in a separate e-mail folder. The following describes how to configure Outlook 2003 to move spam to a sub-mailbox based on our #SPAM# Spam filter tags. You can substitute #SPAM# with your own SPAM filter tags.

 

  1. Start Outlook 2003 and select your Inbox.
  2. In the Outlook menu bar, select Tools , then select Rules and Alerts. A window similar to the following will be launched:

     

     

  3. In the Rules and Alerts window, create a new rule by clicking New Rule.

     

     

  4. In the Rules Wizard window, select the Start from a blank rule radio button, make sure Check messages when they arrive is highlighted, and then click Next.

     

     

  5. In the Step 1 list box, scroll down the list and Check the check box for the "with specific words in the message header" condition.
  6. In the Step 2 list box, click on the specific words link.

     

     

  7. Type #SPAM# into the Search Text window. Then click Add, and OK.

     

     

  8. Click Next in the Rules Wizard window.
  9. Now you will select where you want the Spam to go. Check the move it to a specified folder check box. Then, click on specified folder in the bottom window.

     

     

  10. Select Spam in your personal folders, and click OK. Then click Next.

     

     

  11. The next part is for exceptions. Having exceptions may be helpful for not filtering false positives, but is not required. Click Next.
  12. You may now select Run this Rule now on messages already in "Inbox" to go ahead and filter you existing email. Make sure that turn on this rule is checked. Click Finish.

     

     

  13. If you selected to move the spam to a personal folder, you will be prompted with a client-only message, just hit OK to continue.
  14. Once you are back in the Rules and Alerts window, make sure your new rule is checked and hit OK.
